Tips and Etiquette for Teleconferencing and Virtual Meetings

  • Be on time for your meeting.  If you are a panelist or actively participating in some capacity during a virtual meeting, it is courteous to be early – 10 to 15 minutes is recommended.
  • When you receive a virtual meeting invitation, copy, and paste the virtual meeting credentials to your calendar so you can easily access them prior to the beginning of the meeting.  It is also recommended to set a meeting reminder so you can join the meeting in a timely manner.
  • When you speak, please introduce yourself.
  • If you are using the camera/video feature, please make sure it is positioned properly and your lighting is adequate.  If you will be speaking, it is recommended to turn the camera/video feature on.
  • Whenever your camera/video feature is in use, please be aware that your facial expressions and body language can be viewed by all participants.
  • Remember to mute yourself at all times unless speaking.  To avoid “hot mic moments”, please keep the mindset that the microphone is always on. Limit unnecessary comments by following your meeting agenda.
  • While your microphone is unmuted, avoid shuffling papers and silence other devices to eliminate disruptive noises.
  • Please be courteous to other meeting participants and refrain from interrupting while others are speaking.
  • As you enter your virtual meeting session, finish any conversations or tasks to prevent any distractions among meeting participants.
  • Please consider using headphones or earbuds during your virtual meeting, while working in an office environment.
  • No eating and minimal drinking.
  • Avoid multitasking during a virtual meeting or webinar.
